Code of Conduct
for employees of Wiener Nimmerland

All employees sign the code of conduct and undertake to comply with the guidelines.
1. General rules of conduct
– Respect and dignity: All young people are treated with respect. Their dignity and rights are to be respected at all times.
– confidentiality: Personal information of young people will be treated confidentially and will not be passed on without their consent.
– Sense of responsibility: All employees are aware of their role model function and act responsibly.
2. Interaction with young people
– No discrimination: No form of discrimination based on gender, age, ethnic origin, religion, disability or sexual orientation will be tolerated.
– Physical contact: Physical contact should be kept to a minimum and only permitted with the express consent of the young person.
– Individual interviews: Individual discussions with young people should always take place within sight of others.
3. Dealing with sensitive situations and potential risks
During the tours and lectures, various interactions with the young people can take place. There are opportunities for the students to speak to the tour guide alone, away from the group, and share private stories or ask questions.
Here are some potential risks and the appropriate responses, taking into account the autonomy of the young people:
Private listener: Students share their thoughts, feelings or personal experiences
reaction: Listen carefully without judging and show empathy. Reassure the student that the conversation will remain confidential.
Comfort: Students seek emotional comfort and possibly physical contact
reaction: Offer verbal comfort and avoid physical contact to avoid misunderstandings. Explain to the student that it is important to talk about their feelings. Encourage the student to seek professional help and offer to support them in doing so.
Emotional experiences: Students report traumatic experiences.
reaction: Listen carefully and empathetically, ask the student if he or she would like someone to be informed or if he or she needs help. Respect the student's wish for anonymity unless there is an immediate threat to the student's life or health. If possible and anonymity can be maintained, advise the teacher to discuss the issue in general in the class.
Disclosure of addictions: Students reveal their own or others’ addictions.
reaction: Encourage the student to seek professional help and offer to assist him or her in doing so. Do not inform the teacher or other responsible person without the student's explicit consent.
Requests for help: Students ask for direct or indirect help.
reaction: Listen carefully and offer to refer the student to the appropriate people. Do not make promises that cannot be kept. Respect the student's wishes regarding the sharing of information.
Contact requests: Students want personal contact via social media or other channels.
reaction: Explain that private contacts are not allowed! Contact is generally only possible via the company's official social media accounts, to which only the owner and the child protection officer have access.
4. Handling sensitive information
– Confidential conversations: Staff members listen to young people's concerns and only share information with the student's explicit consent or when the young person's safety is at risk.
– documentation: All relevant suspected cases are documented and forwarded to the child protection officer.
5. Social media and personal contacts
– No personal contact: Employees are not allowed to give out private numbers, email addresses or Instagram names to young people.
– Controlled contact: Contact with young people, if at all, only takes place via the official social media accounts of Wiener Nimmerland, to which only the owner and the child protection officer have access.
6. Photographs and media use
– No private photos: Employees are not allowed to take photos of themselves and a young person. Employees are not allowed to take group photos.
– Allowed photos: Young people are allowed to take photos of themselves and the employee. The young people or the teacher are allowed to take group photos of the young people together with the employee.
– Storing photos: Employees are not allowed to save photos of the young people on their mobile phones or cameras.
7. Training and reflection
– E-Learning: All new employees must complete an e-learning course on child protection.
– Enrolment: All new employees are informed by the child protection officer about the current child protection concept and the code of conduct and the resulting conditions and regulations.
– Opportunities for reflection: In planned meetings or internal team meetings, employees are regularly given the opportunity to talk about and reflect on their own actions as well as challenging situations with young people.
– Regular training: As soon as at least 2 additional employees (in addition to the owner, secretary and child protection officer) are hired, regular training courses on the subject of child protection will be planned.
8. Suspicion and complaint management
– Reporting chainSuspected cases must be reported immediately to the Child Protection Officer (Nadine). A dedicated email address (kontakt@wienernimmerland.at) is available for this purpose, but is rarely used for other purposes.
– Reporting form: A standardized reporting form for suspected cases has been developed and is accessible to all employees.
